Importing Orders into Batchline (UK Booksellers)  

This process is an important part of ordering. Once you’ve shared your completed ordered with your rep, they will place it with the distributor, and it will be on its way to your shop. But, at this point, BatchLine isn’t aware of this order. This means you won’t be able to see which books are on order, you won’t be able to allocate pre-orders to customers and, when it comes in, the whole order will show as AutoNoPo. For some of you using the WebExporter this process will also facilitate uploading it early onto your website for even more pre-orders. So, to ensure that BatchLine remains informed, you can export the order from Edelweiss, import it into BatchLine and set it as ‘Expected’. 

First, build an order from a catalogue, complete it, and share it with your rep (short video on this process here https://youtu.be/KY20NS49ZEM?si=Y3ZiAM891MVUryOQ ).  

Then, from Orders, select export preview on the relevant order: 

  

 

Make sure the Export Format is set to BatchLine Manual Order then press download:   

 

Then, in BatchLine, create an ISBN list and name it appropriately:  

  

  

 

Select your new list and press ‘List Details’ to open the list, then select ‘Import File’:  

  

 

In the following Import Options pop-up menu, ensure that these options are selected, especially ‘Set Stock Categories’, then press ‘OK’: 

 

Once the list has imported, go to ‘Send To’ and select ‘Expect Delivery’ (Note, this “Send To – Expected” is not available outside of the list details so make sure you are IN the list, ie you can see all the titles:  

 

 

Then, set the correct supplier* to expect the delivery from and press ‘OK’: 

 

 

*Please note that you will need to already have set these suppliers in BatchLine for them to appear among the options. Also, Supplier Codes are generally unique for each Bookshop, so you may have ‘MDL’ where someone else has ‘MACD’.  

 

Your order is now imported into BatchLine! Now, if you check a title from that Order, you will see it has a stock record and will show as On-order. You can also assign begin assigning any pre-orders. When the order arrives at your shop, you can book it in as normal. Happy buying!
