Uploading a Digital Review Copy

Once you’re all signed up with an Edelweiss DRC subscription just log into Edelweiss, click on your profile icon at the top of any Edelweiss page and select Administration:

In the Review Copies section, click in to Administer:

Most Edelweiss publishers will only have a single DRC profile, in which case the Profiles filter option will not appear on your screen. But if you need to maintain different DRC/DRM settings, including contact emails, for specific groups of your titles, we can set up multiple Profiles for your account. Contact support@abovethetreeline.com for details!

Once you’ve selected a Profile, you can manually upload a DRC file by clicking Choose Files, after which you’ll be directed to select a file from your computer:

File Format and Size: Your DRC should be either a PDF or EPUB file, preferably less than 30 MB in size.

Naming Convention: Name your file simply with the 13 digit ISBN, e.g. 9781234567890.pdf, of the primary physical book version of your title. This will connect your DRC with the title listing and all its metadata.

If also uploading audio review copy files, simply name a zip file with the same 13 digit ISBN as above. Details here.

If you run into trouble or get an error message, here are a few tips and explanations for the most likely issues:

  • File size restrictions are in place on account of the limitations of many reading devices and apps. Exceeding the 30MB size limit will very likely cause problems for your readers, and so exceeding that size limit can cause your upload to fail.
  • Be sure to name your file using the 13 digit ISBN for the version to which you’d like your DRC to be attached…usually the hardcover or paperback original version. Example: 9781234567890.epub That ISBN will attach the DRC tools to that particular title listing in Edelweiss.
  • Please avoid uploading protected files (files with DRM). Edelweiss automatically adds DRM restrictions to your files. A DRM-protected file cannot be processed.
  • Please be sure your file is “flat!” This is most often an issue with graphic novels, in which the text and graphics are in different layers, which the file processor does not appreciate.
  • You may receive an error message alerting you that the server is busy or could not connect. No worries! The system will try again every 15 minutes until there’s ‘room’ for your file to work.
  • Note that we’ll generally receive your title metadata before you upload your review copies, which means that all that good and interesting information will automatically attach to your DRC. If we do not receive your title metadata in a feed or from inclusion in an Edelweiss catalog, please contact support@abovethetreeline.com and we’ll help you get that data added.

  • In general, we recommend using EPUB files, as they are more compact in size and tend to look better on a broader array of devices.
  • If you upload a PDF and it is turning out to be more than 20 MB, running it through a PDF optimizer to reduce the size of the images contained within (or consider removing them altogether) can make it work a lot better for your readers.
  • Kindles often have problems with image/illustration intensive files, especially when they are over 10 MB.
  • In fact, if your file is over 50MB, a kindle version will not be made available.
  • We can also accept MP3 files for audio book files, but please bear in mind that DRM is not currently available for these.

Once a file is uploaded, you’ll see it listed here:

Next, you’ll want to set your defaults and preferences for your DRC’s, specifically availability, DRM settings, email contacts, etc. Learn how here.

Replacing a DRC file

If you need to replace a live DRC with an updated or corrected file, simply upload the new file on your administration page. As long as the file is named with the title’s 13-digit ISBN, the system will automatically replace the old file with the new one.
